Project summary
We introduced a custom-built warehouse build sheet system for a food manufacturing client who previously had no structured packing documentation. Using Airtable and Documint, we automated the creation of order-specific build sheets that streamline warehouse operations, ensure correct pallet stacking, and enable lot code tracking for the first time.
The challenge
Prior to this, warehouse staff received no formal documentation for how to build or pack orders. Lot codes weren’t tracked, and pallets were stacked without regard to weight distribution, increasing the risk of product damage and shipping issues. There was also no easy way to tailor packing instructions based on shipping methods.
What we built
We created a Documint-based build sheet system that generates detailed, order-specific PDFs at the click of a button in Airtable:
- Line items sorted by weight to guide proper pallet stacking
- Dynamic styling based on ShipStation shipping method (e.g., parcel vs. freight)
- Editable lot code fields for warehouse workers to record batch-level tracking info
- Automated PDF generation triggered via Airtable script button
Each build sheet is printed or accessed digitally, making it easy for the warehouse team to follow consistent processes and record essential product tracking data.
Technical highlights
- Built using Documint + Airtable scripting, no manual file prep needed
- Sort logic handled dynamically to guide optimal packing strategy
- Fields mapped directly to Airtable for real-time lot code traceability
Results
- First-time lot code tracking implemented without changing warehouse tools
- Significant quality improvements in fulfillment through better pallet organization
- Fewer packing errors and better alignment with shipping requirements
- Faster fulfillment workflows, reducing confusion and minimizing risk
